Who we are

Birchall Reality Ltd ("we", "us"), registered in England and Wales (company no. 12569265), is based in Ruthin, Denbighshire, and provides business IT support and services. What information we collect

• Enquiry details you give us through our forms: your name, business name, email, phone number, business size and any message.
• Lead source information such as the page you arrived on and campaign tags (UTM parameters), so we can understand which of our efforts are helpful.
• Technical data from privacy-friendly, cookieless website analytics (aggregate page views and referrers); this does not identify you.

How and why we use it

We use your information to:

• respond to your enquiry and arrange your IT review or other request;
• provide and administer our services if you become a client;
• understand which marketing channels are working, in aggregate.

Our lawful bases are your consent (when you contact us) and our legitimate interests in responding to enquiries and running our business, and where you are a client, performance of a contract.

Who we share it with

We do not sell your data. We share it only with the trusted service providers who help us run the business, and only as far as needed. These include Cloudflare (website hosting and security), SMTP2GO (delivering our enquiry emails) and Microsoft 365 (our own email and file storage). Each acts under our instructions and handles your data securely. We may also disclose information where required by law.

How long we keep it

We keep enquiry data only as long as necessary to deal with your enquiry and for up to 24 months afterwards, then delete it, unless you become a client. Client records are kept for as long as we provide services and for a reasonable period afterwards to meet our legal and accounting obligations.

Your rights

Under UK GDPR you have the right to access, correct, delete or restrict the use of your personal data, to object to processing, and to data portability. To exercise any of these, email us at info@birchallreality.com. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.
